A large quantity of hotel rooms in different price categories has been booked in central Mexico City at preferential rates during the conference period. All hotels are situated in Mexico City. Congrex Sweden AB (Member of the Congrex Group) is the Exclusive Housing Bureau for AIDS 2008.
Hotel room descriptions
Single (SGL): A single occupancy room with one bed, majority of the hotels offer King Size beds
Double (DBL): A double occupancy room with one bed, majority of the hotels offer King Size beds
Twin (TWN): A double occupancy room with two beds, majority of the hotels offer 2 x Queen Size beds
Suite: A range of suites are available on request
All hotels offer rooms with private bath/shower/WC, telephone, radio, TV, breakfast facilities. Most hotels also have Internet access in the rooms.
Please note:
- All indicated prices include breakfast.
- Rates may increase without notice due to changes in government charges, taxes or levies.
- Should the requested hotel be fully booked, the AIDS 2008 Accommodation Department reserves the right to book another hotel in the same category.
Individual bookings (less than 10 hotel rooms)
Early reservation is encouraged. Room availability is guaranteed by the AIDS 2008 Accommodation Department on behalf of the delegates until 20 June 2008. After this date room bookings are subject to availability.
Group bookings (10 hotel rooms or more)
If your organization would like to make a group booking (10 hotel rooms or more), the AIDS 2008 Accommodation Department can secure rooms and negotiate group rates on your behalf with the hotel of your choice. With a large network of hotel contacts our experienced staff are able to ensure all your needs are met and your booking is managed efficiently.
Late bookings
Late bookings can be made after 20 June 2008 but are subject to availability. Bookings are only possible against a deposit payment by credit card to guarantee the booking, A handling fee of USD 30 will charged to all late bookings.
Change of bookings
Any change to a reservation must be notified to AIDS 2008 Accommodation Department in writing and not directly to the hotel. Changes made after 20 June 2008 are subject to a handling fee of USD 30.
Early check out or no show
Should you check out before the confirmed departure date or in case of no-show, the hotel reserves the right to charge you for all nights confirmed
Arrival time
International flights may arrive in Mexico in the early morning. Hotel check-in time is usually 15:00 hours. If you are to arrive before this time, it is probable that you will not be able to gain access to your room. To guarantee a room to be available for an early arrival you will need to pre-register and pay for your room for the previous night. If required, indicate this on the accommodation booking form.
Payment policy
All accommodation bookings must be accompanied by a deposit, some hotels might require full pre-payment to secure and guarantee for a reservation. Exact information regarding the deposit amount required for each hotel to be paid will be indicated in the online accommodation booking form. Upon receipt of the deposit, each participant will receive a confirmation letter. Do not send any payment to the hotel.
If the total cost of your stay is less than the requested deposit, you will only be charged the actual cost.
Methods of payment
Payment of the deposits should be made in advance, in US dollars, in one of the following ways:
- Credit Card (American Express, Visa or Mastercard/Eurocard)
- Bank Transfer (All bank fees are to be paid by the transmitter)
Personal checks, company checks or Eurochecks will not be accepted.
Confirmation letter
Accommodation will be confirmed when payment of the deposit has been received by the AIDS 2008 Accommodation Department. In order to receive confirmation by email, ensure that your email address is correctly entered in your conference profile.
